Complete File Task

Before completing any task, ensure its status is set to "In Progress".

Template Task

To finish the Template File Task, you must have the role privilege “Can Create Files from Document Templates", and aDrive Desktop installed. If you lack any of these, please reach out to the Playbook admin or package owner to modify your role privileges or to alter the task type.

1. Select a template file from the list and click on "Create File" in the bottom right corner.

2. You may be prompted to install and log in to aDrive.

3. aDrive will automatically download and open the provided template, allowing you to create a document more efficiently by editing the necessary sections rather than starting from scratch.

4. After you save your changes to the template file, a window will open. It will ask you to enter a specific name for the file you've just created. Type the name and click "Create File".

5. You will be asked to fill in details about the file you are uploading, such as Revision number, Purpose of Issue, or status. Once completed, click "Upload". The file will be saved on the Asite platform in the folder specified by the package owner.

6. Next, you need to link the newly created file to the plan. To do so, select the file from the list and click on "Link File".

7. You will be taken to a window where you can select the file you previously uploaded, then click on "Associate and Close".

8. You will return to the task tab, where you should see the updated task progress. Finally, change the status from "In Progress" to "Completed", and click on "Close".

Placeholder Task

Placeholders are pre-published documents that indicate where actual files will be placed once they are ready. The folder path and attributes have already been set up, so the task owner's responsibility is to upload the ready file once it is created.

1. Click on the Placeholder's Folder Path.

2. You will be taken to the folder to select a placeholder. Click on "For Publishing" under the "My Task" column to upload the file.

3. Review the file's attributes and select "Upload".

4. You may need to refresh the page to see the progress of your task.

5. Finally, change the status of the task from "In Progress" to "Completed" and close the tab.

Rules - Doc. Refs.

To complete the Rules - Doc. Refs. task, the task owner must ensure that the linked file reaches the required status. Files will be automatically linked to the task when they meet the criteria defined by the package owner (e.g., status: A-Approved).

As the task owner, you must ensure files are correctly linked and change the status from "In Progress" to "Completed" to finish the task.

If the task is not linked automatically, it may indicate that the file does not meet the specified criteria:

1. Click on the Doc Ref to open the file.

2. From there, you can change the status or edit attributes according to the requirements.

3. You may need to refresh the page to see the progress of your task.

4. Finally, change the status from "In Progress" to "Completed" and close the task.

Rules - Folder

To complete the Rules-Folder task, the files in the chosen folder must meet certain criteria. When files meet these criteria set by the package owner (for example, status: A-Approved, POI - 004), they will automatically link to the task.

As the task owner, you must ensure documents are linked correctly and finalize the task.

If files are not linked, you can associate them manually:

1. Click on "Link File" in the bottom right corner.

2. A Folder specified during task setup will open. Select a file that meets the required criteria and click "Associate and Close".

3. In the new window that opens, you can add more files or confirm your choice by clicking "Rules - Folder".

4. Finally, click "Mark As Complete File" to change the status from "In Progress" to "Complete" and close the tab.
