View Your Tasks

This article explains how the Playbook feature can help enhance your task management.

To begin, select the "Playbook" from the dropdown list on the right side of the blue ribbon.

Next, click "Tasks" on the left-hand side of your screen.

You will be taken to a dashboard that displays all the tasks you can access. In the top right corner, click on the "Plans" selection to view the plans you want to examine closely.

A window will open, allowing you to filter projects by organization, project, and plans. Click on "Save" to confirm your selection.

Next, you can further filter your tasks by selecting the owner, discipline, stage, package, plan, or task status you wish to view. For example, if you want to see the tasks for which you are the owner, click on the "User & Role" tab, search for your name, or select it from the dropdown list.

Now that you are familiar with the available filters, let’s take a closer look at five views you can use to manage your tasks.

Dashboard

The dashboard serves as the default task view, and you can easily access it by clicking on the "Dashboard" tab. This view offers a graphical representation of your plans and allows you to easily track their progress.

At the top of the dashboard, you will find a quick overview of tasks that meet your selection criteria. This overview includes the number of tasks due today, all overdue tasks, tasks that need to be completed within the next seven days (Task Next Due), and the total number of tasks that match your selection criteria.

The "My Tasks" chart illustrates the stages of your tasks. By hovering over any segment of the doughnut, you can view more details about the tasks in that stage.

Additionally, you can click on one or more stages in the legend next to the chart to choose what you would like to display.

The "Planned Vs Actual" bar chart illustrates your monthly task performance in relation to the initial plan. Each month is represented by two bars: the darker purple bar on the left shows the total number of tasks planned for that month, while the brighter purple bar shows how many of those tasks were actually completed.

For more detailed information about each bar, simply click on it. For instance, clicking on the bar for January 2025 reveals that 13 tasks were planned, but only one was completed.

As you scroll down, you will see an overview of all upcoming tasks, including their ID, descriptions, due dates, and statuses.

Board View

Click on the "Board" option on the top of the screen to see your tasks organized by their current stage.

The tile format provides additional insights about each task. You can see the due date, the number of files or forms associated with the task, and the completion percentage. By clicking on the three vertical dots in the top right corner of each tile, you can also find out which plan and project the task belongs to.

Lastly, the Board view helps you to take control over your tasks. It allows you to update each task's status by dragging it from one stage, like "To Do," to another stage, such as "In Progress."

Timeline View

Calendar View

To access the Calendar view, click on the "Calendar" option. In this view, your tasks are displayed on the calendar and organized by their due date.

You can choose to view the calendar for an entire month:

a week:

or just today:

Different colours indicate the status of your tasks:

  • orange - "In Progress",

  • grey - "To Do",

  • green - "Completed".

Today's date is highlighted in purple.

Additionally, you can click on each task to reveal more information or take action on it.

List View

The "List view" presents all tasks that meet the selected criteria in a clear list format. This list displays:

  • Task ID,

  • Project the task is from and its status

  • Plan the task is from and its status

  • Task name

  • Due date,

  • Progress chart of the task

  • number of associated forms and files

  • Package the task belongs to

  • Stage the task belongs to

  • Assignee/task owner

If you can't see all the columns right away, just scroll to the right.

Like in the previous views, you can click on each task to access additional information or take action on it.
